Who is responsible for your information

HostMyQuiz is responsible for the personal information described in this notice. For privacy questions or requests, email info@hostmyquiz.co.uk.

Information we collect

• Venue, host, and account contact details.
• Account sign-in and security information.
• Subscription, payment status, and provider reference information.
• Quiz session, team name, answer, score, and leaderboard information.
• Trial requests, support messages, and other information you send us.
• Basic device, connection, and service logs used for security and reliability.

GoCardless handles Direct Debit details and Stripe handles card details where that fallback is used. HostMyQuiz does not receive or store your full bank account or card details.

How and why we use it

We use personal information to:

• create and operate venue accounts and live quiz sessions;
• take and reconcile subscription payments;
• provide support, prevent misuse, and keep the service reliable;
• maintain leaderboards, history, moderation, and service records; and
• meet legal, tax, accounting, and security obligations.

Our legal bases are usually performance of a contract, our legitimate interests in operating and securing HostMyQuiz, and compliance with legal obligations. Where consent is the appropriate basis, you can withdraw it at any time.

Who we share it with

We use trusted service providers for hosting, databases, live-session infrastructure, email, support, monitoring, and payments. These include Vercel, Supabase, Upstash, GoCardless, and Stripe when the card fallback is used. We may also share limited referral and commission information with an authorised affiliate where a venue used that affiliate's referral route.

We may disclose information where required by law or to protect users, the service, or our legal rights. We do not sell personal information.

International processing and retention

Some providers may process information outside the UK. Where this happens, we rely on appropriate contractual or legal safeguards. We retain information for as long as needed to provide the service and for legitimate legal, accounting, support, fraud-prevention, and security purposes. We then delete or anonymise it where practical.

Your rights

Depending on the circumstances, you may ask for access, correction, deletion, restriction, portability, or object to how your information is used. Email us to make a request. You may also complain to the Information Commissioner's Office.

HostMyQuiz does not use personal information to make solely automated decisions that have legal or similarly significant effects on people.
